Permanent Bookings for Before and After School Care

Many parents/carers want the security of permanent before school care &/or after school care for their child. At Hamilton South OOSH we've made it as easy as possible for you to secure your permanent out of school hours place. Simply fill out the permanent booking form which is available from one of our staff members and hand it in with your enrolment form.

To keep your permanent child care position active we ask you to ensure your fees are paid even if your child is absent from care, off course this excludes our School Holiday closures.

It is important to remember that to ensure you are still entitled to your Centerlink Child Care Subsidy you need to sign the roll and acknowledge that your child was absent. Your child is able to be absent from care for up to 42 days per financial year without a medical certificate (if you have a medical certificate absent days are not counted towards the 42 days). Once your child is away from care for more than 42 days you are no longer entitled to your Centerlink Child Care Benefit for those days when you child was absent from care; however you will still have to pay the full care fee for that day. To avoid any confusion and to make it easy for you to know where you are up to for absent days we keep a record. If you think your child's absences have been recorded incorrectly please let us know immediately.

Family Vacations

If your family will be taking a vacation during Term time please notify us in writing with 2 weeks notice. This ensures you place will be held and no fees will be charged.

Cancellation of Permanent OOSH Bookings

If you no longer need your permanent before school care &/or after school care please give us 2 weeks cancellation notice in writing mentioning specifically which days you no longer need. It is important that you remember to provide us with 2 full weeks notice of your cancellation otherwise 2 weeks full fees will be payable; Child Care Subsidy is not payable to you when your child does not attend care and no notice is given.

Casual Bookings for Before and After School Care

Many parents/carers want the the flexibility of a casual booking for before school care, after school care for their child. At Hamilton South OOSH we've made it as easy as possible for you to secure your casual booking for out of school hours place. Simply contact the centre to see if we have any vacancies on the day you need.

Changes to Casual Bookings

We ask that you give us 24 hours written notice for the cancellation of a casual booking. Of course, this may not be possible if your child is ill. In these circumstances we ask that you provide us with 2 hours' notice.

Sun Care Policy

Hamilton South Before and After School Care Centre is proud to be a NSW SunSmart Centre. We aim to balance the risk of skin cancer from too much sun exposure by maintaining adequate vitamin D levels in our children. We aim to take a sensible approach to sun protection in our service that empowers children to take responsibility for their own health and wellbeing (“My Time, Our Place” Outcome 3)

We aim to ensure that all children in attendance at the service when the UV forecast is 3 or above will be protected from harmful rays of the sun. All staff will model appropriate sun protection behaviour and enforce the sun protection policy.

Confidentiality of Information & Records

Hamilton South OOSH Staff and Management will ensure that all required records are recorded, properly maintained, updated and kept in the nominated secure place. All records are to be kept confidential and only made available to authorised persons. 

• All documents relating to children and parents will only be made available to the parent/guardian or approved persons enrolling the child, staff and authorised members of the management committee who require relevant information, or Commonwealth or State Government officers when requested. 

• All documents relating to staff will only be made available to the individual staff member, the Management or police if required. 

• All documents relating to fee payment and CCS will only be made available to the parent/ guardian or approved persons enrolling the child, staff and authorised members of the Management or Commonwealth Government officers. 

• No member of staff may give information on matters relating to children, to anyone, other than to the parents or guardian enrolling the child when this information has been obtained in the course of employment in the centre. 

 

Exceptions are made

For normal information exchange among staff and management for the daily operation of the centre and well being of the staff and children. If we are required to do so in a court of law when subpoenaed.When the welfare of the child is at risk the appropriate government agencies may be contacted. No member of staff may give information on matters relating to staff or management, to anyone except in normal information exchange among staff and management for the daily operation of the centre and wellbeing of the staff and children, or when required to do so in a court of law. If accident report to insurers are required.

Physical Contact Policy

While at Hamilton South OOSH, there may be times when staff and children engage in friendly, rough play and games or play that involves physical contact. Also there may be times when children are upset or hurt and would like a small hug or other contact that would help to calm or soothe them (eg: hair brushing, face touching). This will only occur once a staff member has built up a rapport with the child. It is expected that any contact given to your child/ren will depend on their age, and whether or not the child actually wants the contact. Staff will not initiate the contact with children other than perhaps a hand shake or a light touch on the shoulder. Also please know that the way we would behave with your child/ren is exactly the same at any time of the day, regardless of your presence in the room.
